Tender


The Tender application compiles bidding documents for a project and manage tender documents, this will help user to organize the proposed contract with the preambles, and the bill of quantities together with sequential page numbering, creating a better presentation than individually printing them as separate documents, the tender application have four key areas for compiling, sharing, submitting and managing submitted tenders. It can help with the RFQ or RFP, you can create your document and complete the preambles, articles, legal or informational parts of the document in our app’s word processor with copy paste function from any other sources or and append a bill of quantities that you have already created in Rapisurv to create a complete tender package that can be shared with invited tenderers. You can also upload any tender document that you may want to include in the tender package. Through the tender app you can send in-app copy of the BOQ to invited bidders and they will have the unpriced BOQ in their Rapisurv account immediately, this will completely save the time and effort they would have spent in data entry for the bill of quantities on their end, they also save the time and effort in estimating because now they can create estimate immediately and process it. And the owner or their consultant can send invitation to bid to non-Rapisurv users and the bidders will be able to submit through the integrated “Bid portal” giving the owner the ability to receive all bid documents and prices in the system and completely eliminating data entry related to bid submission on the part of the receiver too.. 


The bid portal enables invited bidders to submit bidding documents to the tender board of an organization as part of the contract management process. Tenders are stored in the relevant project’s sub-folder. The tender’s portal is part of the Rapisurv tender application allowing the invited tenderers to receive copies of the bill for pricing within Rapisurv and eliminating data entry on the part of the bidders. The portal is the external point of interaction with invited bidders  and it is accessible from the “Bid portal” link on rapisurv.com.

Select a project and create tender with defined validity.


Compiling


Project Title page

This form provides an opportunity for user to enter the official name of the project or contract in the 'Project Title', and to manage other data relevant in the form.


Conditions and Preambles

In the preambles area, the user can type in the Rapisurv writing pad or copy from an outside document and paste into the Rapisurv pad, the document can be edited, previewed and go back to edit as required until user is satisfied that they have organized it to meet their need.


Bill of Quantities

Use this function to add bill of quantities to the tender document, select a bill of quantities from the 'Insert bill of quantities" field and save. the tender document will be created and the user will be able to download and save it outside Rapisurv.


Share BOQ

The user can send a Rapisurv copy of the bill of quantities to users using the sharing button from Tender view, this navigate to the bill of quantities "send copy" page where you can select users to send a bill to. 


Preview and generate output

Use the "Preview" button to preview the output document, if all looks good the "Generate output" this action will save the document in your project folder and also present an option to print.


Additional documents

In most tenders there are multiple documents required to be shared with tenderers, instructions, specifications, drawings etc. can be uploaded in to the project folder to be shared.

The file location of all documents created and uploaded for the project will be presented and the user can share them directly or the folder.


Tender submission


Portal

Invited tenderers are able to login to the private project portal and submit their tenders within the validity period. The external link to the portal is available in the footer at rapisurv.com 


Management of submitted tenders


Board

Board members are assigned and the can manage the tenders submitted, each member is able to review documents and add comments on each tender.
